§ General
Provisions
- These Regulations for the Newsletter Service, hereinafter referred to as the “Regulations,” set forth the rules for the provision of content via e-mail (hereinafter referred to as the “Newsletter Service”) by the Service Operator.
- The Service Operator is SWPS University of Social Sciences and Humanities with its registered office in Warszawa, ul. Chodakowska 19/31, (03 – 815) Warszawa.
- Use of the Newsletter Service requires Internet access and an electronic mail (e-mail) account. There are no specific technical requirements apart from a standard operating system and a standard Internet browser.
§ Subject matter
of the service
- The Newsletter Service consists in the provision, by the Service Operator, of messages to the electronic mail (e-mail) address specified by the User containing information regarding products and services offered by SWPS University, admission requirements, new information on the University’s websites and events organised by SWPS University.
- By entering into the agreement for the provision of the Newsletter Service, the user makes available their electronic mail (e-mail) address specified in the registration form for the purpose of receiving messages referred to in the preceding sentences.
- Provision of the Newsletter Service shall commence following the conclusion of the agreement for the provision of the Newsletter Service.
- By accepting the conditions of these regulations, the user enters into an agreement for the provision of the Newsletter Service.
§ Conditions
of use
- The Newsletter Service is provided free of charge.
- Use of the Newsletter Service is available to any person who provides their e-mail address on the website of the Service Operator, and subsequently checks the field marked “I accept the provisions of the Regulations for the provision of the Newsletter Service by SWPS University of Social Sciences and Humanities” and confirms their decision by clicking on the “Sign up” button. Clicking on the aforementioned button shall cause the e-mail address provided in the registration form to be sent to the Service Operator and the Newsletter Service to activate.
- By signing up to the Newsletter Service, the User undertakes to provide true and accurate data and to refrain from disclosing third party information without the consent of the relevant persons.
- Particular messages transmitted in the scope of the Newsletter Service shall constitute works in light of the provisions of the copyright law and shall be subject to legal protection pursuant to the applicable regulations. Any reproduction, modification and use in any way which is not consistent with the intended purpose or without the consent of the Service Operator may constitute a violation of the applicable law.
§ Duration
of the service
- The agreement for the Newsletter Service is concluded for an indefinite period of time.
- The User shall be entitled to terminate the agreement for the use of the Newsletter Service, such termination having immediate effect.
- The User terminates the agreement for the Newsletter Service by sending a relevant statement to the following e-mail address: This email address is being protected from spambots. You need JavaScript enabled to view it., by post to the address of the Service Operator provided in § 1 of the Regulations or by clicking on the hyperlink in the contents of the messages received as part of the service.
- The Service Operator shall be entitled to suspend or terminate the provision of the Newsletter Service upon prior notice to the Users sent to the e-mail addresses provided by them.
- The Service Operator shall be entitled to remove an incorrect or non-existing e-mail address provided by a User.
§ Personal
data
- The Service Operator is the data controller for the personal data processed for the purpose of providing the Newsletter Service.
- The Users’ personal data shall be processed based on the electronic mail address provided for the purpose of rendering the Newsletter Service.
- The personal data are processed by the Service Operator in accordance with the applicable law and pursuant to Article 6 section 1 (b) of the GDPR1 and solely for the purposes associated with the provision of the Newsletter Service specified in §2.
- For the purpose of customising content for the particular user, the personal data processed in connection with the provision of the Newsletter Service shall be subject to profiling. Profiling shall consist in the segmentation of users according to criteria including: place of residence, education, interests etc. for the purpose of sending only such information to a given user which applies to them. The information is collected based on the data contained in the registration forms as well as user conduct on the website of the university (Cookies).
- The user shall be entitled to opt out from the profiling activities. - The disclosure of personal data is voluntary, however it is required for the provision of the Newsletter Service.
- Recipients of data may be entities responsible for the maintenance of IT systems used for the propagation of electronic messages, the service provider and public entities.
- Personal data shall be stored until the agreement for the provision of the Newsletter Service is terminated. Thereafter, it shall be stored based on the data controller’s legitimate interest, i.e. defence against claims, until said claims become subject to limitation.
- The Service Operator ensures that all the persons whose data are processed may exercise their rights arising from the applicable regulations, including the right to access their personal data, the right of rectification, amendment, deletion or portability, and furthermore the right of limitation of processing and the right to object against the processing of data subject to the rules arising from he applicable regulations. Each data subject is entitled to submit a complaint to the President of the Persona Data Protection Office.
- The personal data relating to users of the Newsletter Service are protected by the Service Operator against disclosure to unauthorised persons and other disclosure or loss or any unauthorised modification of said data and information by means of appropriate technical and organisational means.
§ Complaints

- The complaint should include details of the applicant which are necessary to provide notification concerning the results of the complaint procedure, as well as a description of the problem encountered when using the Newsletter Service and the applicant’s expectations concerning the manner of handling the complaint.
- The Service Operator shall handle the submitted complaints within 14 days following receipt thereof.
